Part-Time Administrative Assistant

Llangollen International Musical Eisteddfod is recruiting a part-time administrative assistant to support an Arts Council Project which the Eisteddfod is running with other partners.

The role is part-time fixed term and will be based in person at the offices of Llangollen Eisteddfod.  The hours which are flexible will be 10 hours per week and will be fixed term project until September 2025.

The rate of pay is £12 per hour, FTE £23,400

Summary of Role: You will be assigned responsibility for ensuring the efficient management of various project administrative requirements. You will be working within a team who are assigned responsibility for certain key accounts and will be responsible for managing the following key activities and ensuring they meet minimum performance standards.

Duties & Responsibilities: Acting as a point of contact for the Connect & Flourish Project, dealing with, Projects leads, clients and suppliers via email, over the phone or in person

  • Booking meetings and arranging meeting schedules
  • Maintain records and preparing reports, updating computer records
  • Processing invoices, tracking receipts, inputting expenses
  • Monitoring the project budget
  • Arranging travel plans
  • Ordering equipment and stationery
  • Responding to questions and requests for information
  • Welcoming visitors to the building/Eisteddfod, organising passes and showing them relevant locations
  • Liaising in person, via zoom and by telephone with project participants
  • Any other duties relating to the project and the Eisteddfod.

Candidate Specification:

  • Solid IT Skills (Outlook, Excel, Word, PowerPoint).
  • Numerate and ability to work accurately and quickly.
  • Works effectively – tackling immediate demands decisively, whilst retaining a broad awareness of emerging requirements. Demonstrates a good sense of priorities, structures workload effectively and delivers consistently good results
  • Ability to interact with internal and external customers at all levels within the business.
  • Flexible & adaptable to the changing requirements
  • Willingness to work as part of a flexible team providing support or cover for colleagues during periods of absence or busy periods.
  • Ability to meet deadlines and work under time pressures.
  • At least 1 years’ experience in an office environment
  • Welsh Speaking (Desirable but not essential)

A truly fantastic opportunity for admin support but to also to work as part of festival.
