At Llangollen International Musical Eisteddfod, we have volunteering opportunities to suit a whole range of interests, skills and abilities. We naturally welcome people who want to get involved during Eisteddfod week itself but are also keen to hear from those who could give some time throughout the year as there is always plenty to do!
The Eisteddfod organisation comprises a staggering 800 volunteers in a variety of roles, plus several office-based employees who take care of finance, administration and ticket sales. There is a committee structure, each of which covers a different organisational area, from finance and tickets, to floral and archive.
Volunteers are generally members of a committee and are invited to attend meetings and events throughout the year to discuss and develop plans and give their valued input to Eisteddfod preparations.

Competitors
- Liaising with competitors both from the UK and overseas to assist them with travel preparations, transfers, accommodation and any issues during their time at the festival.
- Monitoring and support with visa applications for competitors, liaising with the Home Office and Passport Office when required.
- Sourcing and organisation of accommodation in hotels, guest houses, educational establishments and homestays for competitors.
- Welcoming groups on arrival to the Eisteddfod field and providing them with information, support and interpreting services where needed.
- Looking after competitors’ luggage and belongings while they perform.
Floral
- Floral displays: design, create, and install the stunning floral arrangements in the main pavilion and around the festival site, starting two weeks before the event.
- Flower and foliage preparation: collect, condition, and prepare flowers and foliage for displays and bouquets.
- Bouquets and posies creation: make floral arrangements to raise funds for the Floral Fund and present to VIPs, artists, and sponsors.
- Maintenance: refresh and maintain floral designs throughout the festival.
- Floral stall operation: run the floral stall and sell decorations, posies, and other items to raise funds for Floral.
- Fundraising events: organise 2-3 events per year featuring floral and craft decorations to support the Floral Fund.
Grounds
- Site management
- Planning and layout of the Eisteddfod field.
- Management of all issues relative to site and site services (construction, canvas, plumbing, electricity etc)
- Negotiation and management of site contractors (site construction, canvas, security etc)
- Organisation of car and coach parking.
- Health & Safety management.
- Communication management (switchboard, phones, radios, CCTV)
Heritage
- Cataloguing and management of Eisteddfod artefacts, literature, photographs and films.
- Setting up of displays and exhibitions of archive material during Eisteddfod week and for other events as required.
- Research into past Eisteddfodau.
- Development and management of an electronic archive.
Marketing
- Working to implement an agreed Marketing strategy through a mix of direct marketing and advertising including programmes, leaflets and other marketing materials.
- Working with Visit Wales and other tourism organisations on a wide range of tourism activities.
- Input into design, content and distribution of a wide range of marketing materials.
- Managing Programme design, content and distribution.
- Joint organisation of Eisteddfod Parade.
- Maintaining Eisteddfod flag, banner and sign inventory and managing usage.
- Recruitment, training and organisation of Welcome Hosts and Programme sellers in association with local education organisations.
- Design, construction and staffing of Visitor/Information Centre during Eisteddfod week.
- Research merchandise for LIME sales.
- Agree sales budget and procure agreed merchandise items and control all stock.
- Organise, staff, and manage Visitor Centre merchandise outlet.
- Organise, distribute and collate Customer feedback information.
- Co-ordination and development of LIME advocacy, talks and exhibitions for outside organisations.
Music & Staging
The Music & Staging teams are responsible for activities connected with competitions and performances. These include:
- Music Office Support: this team covers such tasks as communicating adjudications, results etc., and competition scheduling.
- Copyright: the copyright team is responsible for checking what each group is performing and dealing with PRS (performing rights) issues.
- Outside Stages: there are several outside stages in different locations on the field with performances by competitors, non-competitors, and some professional artists. Volunteers cover activities such as presenting, sound and lighting, and general support.
- Competition Preliminaries: these take place in various venues within the town and on the Eisteddfod field prior to the final competitions on the pavilion main stage. Volunteers are needed to steward, look after the adjudicators and act as runners between the venue and the music office on the field.
- Town Events/Outreach: these are performances in various locations in and around the town. Volunteer activities are similar to those required for outside stages.
- Stage Crew: the stage crew team cover all aspects of managing competitions and other performances on the main stage in the pavilion. Volunteer roles include adjudicator liaison, competitor liaison and backstage coordination (of competitors into and out of the backstage area), and on-stage crew.
The Pavilion Group
Front of House
- Checking seating plan and attach row ends and numbers to seats prior to an event.
- Ensuring seats are clean and the pavilion is litter free.
- Managing the day to day running of pavilion arrangements.
- Seating of the audience, supported by a team of ushers from Ysgol Dinas Bran.
Stewards
We are the main people the public engage with and you will meet and speak to a wide range of visitors, both public and competitors, from all around the world.
As stewards our main duties include:
- Standing at entrances to check tickets
- Preventing disturbances of performances
- Assisting customers to find their seats
- Ensuring the walkways are kept clear
- Being visible on duty and rotating duties amongst your fellow stewards
- Providing information and assistance to both the public and competitors
- Responding to emergencies
Tickets
- Assisting the office staff with ticket sales and administration throughout the year
- Staffing of main entrance and welcoming visitors to the field and checking tickets
- Staffing of ticket offices during Eisteddfod week, selling day passes and concert tickets and handling any queries relative to admission.
